Your Logistics Tender: Perfectly Planned and Implemented
Reduce risks with the matching tendering and awarding strategy
Whether material flow or warehouse management systems: Logistics tendering is a complex process that needs to be carefully prepared and implemented. In addition to the detailed definition of functionalities and qualities, we also undertake the thorough market analysis for you, organise the tendering and awarding process, minimise the risks of implementation, ensure transparency and fairness towards bidders and monitor compliance with the schedule and cost framework.
In the tender documents, we define all the delivery and service scopes of the material flow system and the warehouse management system that were previously developed in the detailed planning phase of your logistics project. In addition to the technical and procedural requirements, we also specify the supplier's required method of project execution in a binding manner. The execution conditions such as qualities, availability model, test procedures and commissioning procedure are defined in such a way that all parties know which acceptance requirements they must fulfil.
The services must be clearly agreed upon, as imprecise specifications lead to additional costs and delays as well as realization issues during implementation. In order to keep the project risk as low as possible, we systematically evaluate suppliers and offers according to technological, organizational and commercial aspects prior to the awarding decision, work out optimization measures and ensure comparable offers ready for award.
The tender includes the project-specific logistics systems, logistics processes and material flow technologies defined in the detailed planning in accordance with proven quality standards.
It has proven to be a good idea to provide suppliers with intensive support even during offer preparation.
Once the first offers have been received, a thorough clarification and optimization phase begins. Only when the scope of delivery and services offered has been fully clarified for all parties does the price negotiation begin. Metroplan supports these negotiations until the final contract is awarded.
The procedure in the tendering and awarding of logistics systems has a major influence on:
Each tender process has project-specific advantages and disadvantages, which we will inform you about in full to help you make an informed decision. The choice depends heavily on the complexity of the tasks and interfaces of the trades, the personnel resources and the balance between costs and risks. In addition, a good negotiating position is to be ensured through sufficient competition.
To this end, we evaluate the logistics concept and the customer's specific requirements in advance from a technological, organizational and commercial perspective.
The classic awarding strategies are the individual awarding, major trade awarding and general contractor awarding. The rule of thumb for these award procedures is Individual awarding entails a high level of planning effort and increased risks for the client, whereas major trade awarding and general contractor awarding are less costly and less risky. Change reqeust management is almost unavoidable and must therefore be planned for from the outset. Due to the shortcomings of conventional, more traditional procurement strategies, over time we have developed cooperative procurement strategies such as Guided Engineering, Owner Procured Contractor Coordinated (OPCC) and partner awarding as an additional alternative. Their common feature is that solutions are developed, contractually agreed upon and implemented in close cooperation and partnership with the providers.
