Tendering and awarding mark the transition from the planning phase to the implementation phase. In the role of general planner and at the same time independent and neutral consultant, we keep a close eye on quality, costs and deadlines. Our advice includes customized strategies for the awarding, construction contract and pricing arrangements of the project, such as the conclusion of a lump-sum price contract, unit price contract or a construction contract with a guaranteed maximum price (GMP contract). In the role of general planner, we translate the planning results into complete tender documents that contain detailed service catalogues or functional specifications as well as binding deadlines. Special care is required here: The clearer and more detailed the requirements are defined, the easier it is to avoid misunderstandings and costly change requests. The aim of tendering and awarding is to attract qualified providers for your project and to make the selection in a transparent and comprehensible manner. To this end, we work with you in advance to define clear suitability criteria relating to technical skills and experience and award criteria in which price, quality, delivery time and risks are taken into account and weighted appropriately.

Evaluation of offers and providers 

For the invitation to tender, we recommend a suitable group of bidders, draw up the construction tender and set appropriate deadlines for the submission of tenders. Among other things, we use our provider and price database, which we have built up from more than 2,400 successfully completed projects. The tenders should primarily demonstrate that the construction project will be realized competently and reliably within the time frame and in compliance with the required quality. We subject the offers received to a plausibility check and a price comparison. Although the price is important, it is not the only decisive factor for a recommendation or an award. For offers at the lower end of the price range, we pay particular attention to hidden costs, quality concessions and follow-up costs. To minimize risk, we check the references, experience from previous projects and the creditworthiness of the providers. Depending on the provider, the size of the trades organizations to be awarded and the risk assessment, we may recommend requesting additional securities.

If necessary, we also consult the specialist planners involved. When negotiating prices, we pay attention to clear and unambiguous payment terms. Payment plans and instalment payments are linked to specific milestones to ensure that the project progresses as planned and that payments are only made for services actually rendered. The amount of the instalments is based on a balanced relationship between financial risks and the liquidity requirements of both contracting parties. In order to avoid expensive additional changes, experience has shown that clear rules for dealing with change requests during project progress should be negotiated and contractually agreed from the outset. We prepare all contract documents in accordance with the law up until they are ready to be signed. We ensure compliance with all applicable laws, regulations and guidelines throughout the entire tendering and contract awarding process – regardless of whether the project is in Germany or Eastern Europe, where we have recently been increasingly active for our customers.
